Best Home Care Software: 10 Platforms Compared

Home care software compared across 10 platforms: care lines, EVV, mobile apps and what each one actually publishes about price. Only two name a figure.

Home care software compared: what each of ten platforms publishes about price

Home care software is the system an agency runs its day on: who visits which client, whether that visit was proved to have happened, and whether the hours turn into a paid claim. The clearest split between the ten platforms below is not the feature list. It is how much each one will tell you before you book a demo.

Eight of the ten quote privately. Only Caretap and ShiftCare publish a figure, and ShiftCare prices in Australian dollars for a market most US agencies do not serve. The rest band a quote by how many clients you carry, or say nothing at all until you ask.

What Home Care Software Has to Handle

Three jobs sit at the core: scheduling caregivers against an authorization or care plan, verifying each visit, and billing the payer. Verification is not optional for Medicaid work. Section 12006 of the 21st Century Cures Act required states to use electronic visit verification for Medicaid personal care services from 1 January 2020 and for home health services from 1 January 2023, according to the Medicaid.gov guidance on EVV.

The law is specific about what a visit record must contain. Under 42 U.S.C. 1396b(l)(5)(A), an EVV system has to verify six things: the type of service performed, the individual receiving it, the date, the location of delivery, the individual providing it, and the time the service begins and ends.

The workforce makes the scheduling side hard. The Bureau of Labor Statistics counted 4,677,100 home health and personal care aide jobs in 2025, projects 18 percent growth through 2035 and about 760,500 openings a year, against median pay of $35,800. An agency is rostering a large, fast-turning staff, which is why caregiver apps and offline clock-in matter more than dashboards.

Home Care Software Compared: Care Lines, Apps and Price

All ten appear below. The price column shows a figure only where the vendor publishes one, and the app column is the current App Store release date for the caregiver app.

The Ten Platforms in Detail

1. AxisCare: Three care lines on one scheduling engine

Image: AxisCare

Care lines: Home care, skilled care, IDD. iPhone app: AxisCare Mobile, updated 20 October 2026. Price: Quote, four tiers by client count.

AxisCare carries home care, skilled care and IDD services in the same product, so an agency that starts with companion visits and later adds nursing does not change systems to do it. The feature list names billing, a caregiver app, custom forms, electronic visit verification, scheduling, client and family portals, two-way chat and medication reminders.

Its revenue cycle work is split into Medicaid billing and VA billing, which matters if a share of your hours are authorized by a state program or the Department of Veterans Affairs. The company works out of Waco, Texas, and its pricing page sorts agencies into four bands by client count: from 25 clients, 40 to 500, 500 to 1,000, and 1,000 or more.

2. AlayaCare: The widest set of service lines

Care lines: Home care, infusion, private duty nursing, pediatrics, IDD. iPhone app: AlayaCare, updated 22 October 2026. Price: Quote, three growth tracks.

AlayaCare lists five service lines on its own site: home care, infusion, private duty nursing, pediatrics, and intellectual and developmental disabilities. That is the broadest spread in this group, and it is paired with named payor routes for insurance, private pay, Medicaid and Veterans Affairs.

The platform breaks into operational modules (intake, scheduling, workforce management, payroll, visit management, revenue cycle management and EVV), care delivery modules and a family portal. AlayaCare says it is trusted by more than 700 customers, and it runs separate regional sites for the United States, Canada and Australia and New Zealand.

3. CareSmartz360: EVV included in the entry plan

Care lines: Home care agencies, including franchisors. iPhone app: CareSmartz360+, updated 21 October 2026. Price: Quote, four plans by active clients.

CareSmartz360 publishes the clearest plan structure of any platform here. Four plans are priced on the total number of active clients a month: Growing Agencies at 0 to 100 clients, Large Agencies at 101 to 249, Enterprise Agencies at 250 or more, and a separate Franchisor plan.

The entry plan already covers scheduling, simple billing, EVV, electronic intake and care plans, mobile apps, HIPAA-compliant storage and onboarding with data migration. Multi-payer billing and multi-state EVV readiness sit in the Large plan, and Medicaid revenue cycle automation with audit support sits in Enterprise. Caregiver training runs through an integration called Learn2Care.

4. HHAeXchange: Built around state Medicaid programs

Image: HHAeXchange

Care lines: Personal care, IDD, self direction. iPhone app: HHAeXchange, updated 19 October 2026. Price: Quote.

HHAeXchange is the one platform here that sells to payers as well as providers. It says it is trusted by over 32,000 US providers, more than 180 managed care organizations and 30 state Medicaid programs, and it manages $38 billion in annual payments with 485 million visits confirmed a year.

For a provider, the draw is compliance plumbing: electronic visit verification, a state-sponsored EVV portal, scheduling built from authorizations and plans of care, and billing and payroll that validate visits before claims go out. The caregiver app is available in more than 20 languages, which is unusual in this field and useful for a workforce that often is not native English speaking.

5. WellSky Personal Care: Private duty as its own product

Care lines: Non-medical private duty home care. iPhone app: WellSky Personal Care, updated 5 October 2026. Price: Quote.

WellSky splits home-based care into two products rather than one. WellSky Personal Care is described as purpose-built for non-medical home care organizations, while WellSky Home Health is a separate clinical record for Medicare-certified work. Buying the wrong one is a real risk here, so name your care type on the first call.

The personal care side leans on analytics for referral marketing, applicant tracking and screening, caregiver engagement tools and family communication, with AI workflows branded SkySense. The home health side is where real-time EVV, OASIS quality workflows and Medicare claims live, alongside CareInsights predictive analytics.

6. Alora Health: GPS and telephony EVV in one system

Care lines: Home health, home care, hospice, pediatric, companion care. iPhone app: Alora Plus, updated 5 September 2025. Price: Quote, by users or patients.

Alora runs home health, home care and hospice from a single record, and it states that its EVV is built in and compliant with the 21st Century Cures Act, offering both GPS and telephony capture. Telephony still matters: a caregiver with no smartphone data clocks in from the client landline.

Billing covers Medicare, Medicaid, commercial insurance, VA and private pay, and the product turns OASIS data into views tied to Star Ratings and the Home Health Value-Based Purchasing model. Alora works out of Atlanta and quotes on the number of staff who will use the software or the number of patients served. Its iPhone app was last updated in September 2025, the oldest release here.

7. Axxess: Four care settings plus revenue cycle services

Image: Axxess

Care lines: Home health, home care, hospice, palliative care. iPhone app: Axxess HomeCare, updated 15 October 2026. Price: Quote.

Axxess covers home health, home care, hospice and palliative care, and sells revenue cycle management, staffing, patient engagement and training as separate products around them. It describes itself as a global platform helping more than 10,000 organizations.

Its home care page frames the job as one solution for intake, scheduling, human resources, documentation, family communication and billing. Electronic visit verification is not named on that page, so an agency with Medicaid personal care hours should ask for it in writing before signing. Axxess ships separate iPhone apps for home care and home health.

8. MatrixCare: One vendor across the whole care continuum

MatrixCare private duty and home care software page
Image: MatrixCare

Care lines: Private duty, home health, hospice, skilled nursing, senior living. iPhone app: MatrixCare for Home Care, updated 5 June 2026. Price: Quote.

MatrixCare is the choice when home care is one line of a larger organization. The same vendor covers private duty and home care, home health, hospice and palliative care, skilled nursing, senior living and life plan communities, which is a short list of companies that span both facility and home.

The private duty product emphasises recurring schedules and tasks, caregiver-compatibility matching, referral source management, family engagement through role-based views, and mobile visit notes with time and attendance. Support is advertised as available 24/7. EVV is not named on the private duty page, so treat it as a question for the demo.

9. Caretap: A published starting price and landline clock-ins

Image: Caretap

Care lines: Home care, NEMT, adult day care, ABA, interpreting. iPhone app: Caretap EVV, updated 29 June 2026. Price: Starter from $199 a month.

Caretap is one of only two platforms here that puts a number on a plan. Its Starter plan is listed at $199 a month, discounted to $99 for the first four months, and covers scheduling, digital documentation with e-signatures, basic billing workflows and standard support. Larger set-ups are quoted individually.

Its EVV captures time, date and location with signature capture, and accepts both mobile and landline clock-ins. Beyond home care it serves non-emergency medical transport, adult day care, ABA and interpreting agencies. Caretap says it has more than 28,000 caregiver users and processed over $460 million in claims last year.

10. ShiftCare: Priced per user, built for Australian rules

ShiftCare home page showing its care provider operations platform
Image: ShiftCare

Care lines: NDIS, aged care and home care in Australia. iPhone app: ShiftCare, updated 22 October 2026. Price: From A$8 per user a month.

ShiftCare is the cheapest entry point in this group and the one most US agencies should skip. Pricing is published in Australian dollars at A$8 per user a month on Basic, A$13 on Professional and A$20 on Premium when billed annually, with a seven-day free trial, no card required, and a five-staff minimum.

The product is written for NDIS, aged care and home care providers across Australia: bulk NDIS claim uploads, direct NDIA claims through PRODA, and shift costing that runs on Premium plans in Australia only. Clock in and out is GPS verified and the team app works offline, but none of this maps to US that US state Medicaid programs run.

How Each One Describes Visit Verification

EVV is the feature an agency cannot compromise on, and the ten vendors do not describe it with equal clarity. The notes below are what each company states on the page linked from its own navigation.

  • AxisCare: Listed as a feature, plus automatic visit verification in its AI suite.
  • AlayaCare: Listed as a platform module.
  • CareSmartz360: Included in the entry plan.
  • HHAeXchange: A core feature, with a state-sponsored EVV portal.
  • WellSky Personal Care: Named as real-time EVV on the WellSky Home Health page.
  • Alora Health: Built in, with GPS and telephony.
  • Axxess: Not named on its home care page.
  • MatrixCare: Not named on its private duty page.
  • Caretap: Built in, with mobile and landline clock-ins.
  • ShiftCare: GPS-verified clock in and out, built for Australian rules.

Where a vendor does not name EVV on the product page you are buying from, that is a question for the demo rather than a verdict. Medicaid payment rules under section 1396b of title 42 sit with the state program, so ask the vendor to confirm in writing that it submits to your state’s EVV system.

What Decided the Order Here

Three things, in this sequence. First, how many care lines the vendor supports on its own site, because changing systems to add nursing is the expensive mistake. Second, whether EVV is described on the product page rather than implied. Third, how recently the caregiver iPhone app shipped an update, taken from the App Store listing, since that app is the part of the system most of the staff touch.

Price did not move anything up or down, because eight of the ten refuse to publish one. Vendor rankings and award badges were ignored for the same reason.

Choosing Between Them

Start with the payer, not the feature list. If most of your hours are Medicaid personal care, the question is whether the platform already submits to your state EVV system, which puts HHAeXchange, CareSmartz360 and AxisCare in front. If you bill Medicare for skilled home health, you need OASIS and Star Ratings handling, which points at Alora, Axxess and WellSky Home Health.

Then test the caregiver experience before the office one. Ask for a demo login on a phone, and try a clock-in with mobile data turned off. Alora and Caretap both offer telephony clock-in from a client landline, which solves the dead-signal problem that GPS-only systems create in rural work.

Finally, get the quote in writing with the client count it assumes. Both AxisCare and CareSmartz360 band their pricing by active clients, so a growing agency can cross a band mid-contract. Caregiving software is one piece of a wider plan for an ageing relative, alongside the paperwork covered in our guides to living wills and the types of power of attorney.

Families arranging care privately rather than through an agency usually need the legal documents first, and our roundup of online will makers covers where those are drawn up online.

Frequently Asked Questions

How much does home care software cost?

Only two of the ten publish a figure. Caretap lists a Starter plan at $199 a month, discounted to $99 for the first four months, and ShiftCare lists A$8 per user a month on its Basic plan billed annually. The other eight quote privately, and AxisCare and CareSmartz360 band those quotes by how many active clients you carry.

Is electronic visit verification required?

For Medicaid-funded work, yes. The 21st Century Cures Act required states to use EVV for Medicaid personal care services from January 2020 and home health services from January 2023. Private-pay companion care is not covered by that mandate, though many agencies verify those visits anyway to settle billing disputes.

What is the difference between home care and home health software?

Home care software runs non-medical personal care: companionship, bathing, meals, transport. Home health software adds the clinical record that Medicare-certified agencies need, including OASIS assessments and skilled nursing documentation. WellSky sells these as two separate products, and Alora, Axxess and MatrixCare cover both in one.

Can caregivers clock in without a smartphone?

On some platforms. Alora states that its EVV offers both GPS and telephony, and Caretap accepts landline clock-ins alongside its mobile app. Platforms that verify only through a phone app will struggle anywhere mobile data is unreliable, so test it on the route your caregivers actually drive.
